How to Identify and Order the Correct SMT Spare Part
Use machine details, part numbers, labels, photos and dimensions to identify the correct SMT spare part and reduce compatibility errors before ordering.

To identify an SMT spare part, collect the machine brand, full model, serial number, original part number, assembly location, revision markings, connector details, dimensions, and clear photos before comparing suppliers. A visual match is not enough. Parts that look identical may differ in voltage, firmware, pinout, mounting geometry, material, or machine generation.
Downtime creates pressure to order quickly, but an incorrect part loses more time than a careful identification process. The best request for quotation (RFQ) gives the supplier enough evidence to confirm fit, function, condition, and risk before shipment.
Short answer: Start with the machine nameplate and the label on the failed component. Record every number exactly, photograph the installed position and connectors, and check the machine parts manual. State whether you need original new, original used, refurbished, or compatible. Do not approve a substitute until its revision and critical specifications are compared.
Why SMT Part Identification Is Difficult
SMT equipment stays in service for many years. During that time a machine may receive hardware modifications, software upgrades, replacement assemblies, locally sourced components, or manufacturer supersessions. The model printed on the cabinet may not describe every installed option.
Several identification problems occur repeatedly:
- one part has an assembly number, component number, drawing number, and supplier number;
- a later revision replaces the original number but requires an adapter or software change;
- the same motor body is sold with different encoder, brake, shaft, cable, or connector options;
- identical-looking sensors have different output types or sensing distances;
- a feeder part changes between feeder generations;
- marketplace listings combine several models without proving compatibility;
- a photograph hides the label or scale needed for verification.
Manufacturer parts portals and model-specific manuals should be the first reference where available. The Evidence Hierarchy
Not every source has equal reliability. Use the strongest available evidence and record where each conclusion came from.

When two strong sources disagree, stop and investigate. The machine may have been modified or the document may cover a different revision.
Step 1: Record the Machine Identity
Photograph the machine nameplate and record:
- manufacturer or brand shown on the machine;
- complete model and variant;
- serial number;
- manufacturing date, if shown;
- line and machine position used internally;
- installed head, feeder bank, conveyor, camera, or optional unit relevant to the part;
- software version when the part interacts with machine control.
Brand history can complicate searches. Samsung Techwin machines and later Hanwha-branded machines may appear in documentation, listings, and installed fleets under several company names. Search using the exact name on the machine, but also record the machine series and serial number.
Step 2: Record Every Part Number and Marking
Do not clean away, rewrite, or shorten a label before it is documented. Photograph it first.
Record separately:
- equipment-manufacturer part number;
- component manufacturer's model number;
- assembly or module number;
- revision, version, option, or suffix;
- serial or lot number;
- voltage, current, power, pressure, flow, or other ratings;
- barcode, QR code, and date code;
- cable or connector markings.
Keep spaces, hyphens, leading zeros, and suffixes. ABC-100, ABC-100A, and ABC-100-24V may describe different items.
Part number versus component model
A servo drive may carry the SMT machine manufacturer's spare-part number and the drive maker's model number. Both help, but they answer different questions. The machine part number links the assembly to the equipment configuration. The component model describes the purchased industrial component and may still omit a machine-specific cable, parameter set, bracket, or firmware.
Step 3: Photograph the Part Properly
Good photographs often decide whether a remote supplier can identify a part safely.
Take these views before removal when safe:
- The complete assembly in its installed position.
- A wider view showing where it sits in the machine.
- Every label and engraving in sharp focus.
- Front, rear, both sides, top, and bottom after removal.
- Connectors, pins, keyways, shafts, mounting holes, and hose ports.
- The damaged or worn area.
- A dimension photo with a ruler or caliper, without hiding the feature.
Use neutral lighting and avoid screenshots compressed by messaging applications when label characters are small. Send the original image files if possible.
Never open a powered electrical cabinet or bypass machine safety controls merely to obtain a photo. Follow site lockout and service procedures.
Step 4: Describe Where and How the Part Is Used
An installation description distinguishes visually similar parts. State whether the item comes from a feeder, placement head, nozzle changer, conveyor, camera, vacuum circuit, control cabinet, board support, or another unit.
Also describe the failure:
- machine alarm or error code;
- intermittent or permanent behavior;
- whether the fault follows the part after a controlled swap;
- visible damage, noise, heat, leakage, or contamination;
- actions already taken;
- production event before failure, such as impact, jam, power event, or maintenance.
A supplier cannot diagnose the complete machine from a part photo, but this context helps prevent an unrelated replacement from being presented as a solution.
Step 5: Measure Critical Interfaces
Measure only when safe and practical. Include units and measuring method.
Mechanical parts
- length, width, height, and thickness;
- mounting-hole count, spacing, diameter, and thread;
- shaft diameter, length, flat, keyway, or spline;
- belt width, tooth pitch, tooth count, and length;
- gear module or pitch, tooth count, bore, and hub;
- hose or fitting size;
- material and surface treatment when known.
Electrical and electronic parts
- input and output voltage;
- power or current rating;
- connector manufacturer, series, pin count, and keying;
- cable length and pinout;
- sensor output type and sensing method;
- motor brake, encoder, and feedback type;
- drive or controller firmware and parameter requirements.
Do not energize an unknown component to “see if it works.” An incorrect voltage or pinout can damage both the replacement and the machine.
Step 6: Check Revision and Supersession
A superseded part number means that a newer part may replace an older one. It does not always mean direct drop-in compatibility.
Ask these questions:
- Is the new number a direct replacement?
- Is an adapter, cable, bracket, board, or fitting required?
- Is a software, firmware, parameter, or hardware modification required?
- Does the replacement apply to all serial numbers or only a range?
- Are related parts required as a kit?
- Does the change affect calibration or safety inspection?

Step 7: Choose the Required Part Condition
State the acceptable condition in the RFQ. The words below should not be treated as interchangeable.

For seals, rubber, adhesives, batteries, capacitors, lubricated parts, and other age-sensitive items, “unused” does not necessarily mean “as new.” Ask about production date and storage.
Step 8: Compare the Supplier's Offer
A useful quotation should identify exactly what will be shipped. Compare:
- quoted part number and revision;
- compatible machine models and any serial limitations;
- manufacturer and condition;
- included cables, brackets, fittings, accessories, or software;
- quantity, unit, lead time, Incoterm, and warranty;
- test method and report availability;
- photos of the actual part for used, refurbished, rare, or high-value items;
- return conditions if compatibility has been represented incorrectly.
Beware of offers that replace a specific part number with a broad description such as “Samsung motor” or “universal sensor.” Ask the seller to state the match in writing.

Common Ordering Mistakes
Searching only by machine model
A machine model can contain many revisions and options. Add the serial number and installed-unit details.
Ordering from one blurred label photo
One unclear character can produce the wrong part. Transcribe the label and send the original photographs from several angles.
Assuming visual similarity proves compatibility
Housing and connector appearance do not confirm voltage, pinout, firmware, tolerances, material, or internal design.
Omitting the condition requirement
“New,” “used,” “refurbished,” and “compatible” affect price and risk. Require the quotation and invoice to state the condition.
Replacing a part without confirming the failure cause
A failed board may be the result of a shorted load, unstable power supply, damaged cable, contamination, heat, or another fault. Installing a replacement without diagnosis can damage it again.
Discarding the old part too early
Keep the failed item until the replacement is installed, tested, and documented. It provides dimensions, revision evidence, and a possible repair core.
Frequently Asked Questions
Is the number on the component always the SMT machine part number?
No. It may be the component maker's model, an assembly number, revision, lot code, or serial number. Compare it with the machine's parts documentation.
Can a newer revision replace an older SMT part?
